Digital Knowledge Co Privacy Policy

This Privacy Policy explains how XOOT Pty Ltd (ACN 125 614 842), trading as Digital Knowledge Co (‘Digital Knowledge Co’, ‘we’, ‘us’ or ‘our’) collects, holds, uses, discloses and otherwise manages personal information in connection with our website, courses, events, enquiries, downloads, subscriptions and related services.

We aim to handle personal information in a practical and responsible way. This policy is intended to comply with the Australian Privacy Principles and related Australian privacy requirements, to the extent they apply to our activities.

1. What personal information we collect

Depending on how you interact with us, we may collect:

  • Contact details such as your name, email address, phone number, employer, role or title
  • Booking, course, attendance and enquiry details
  • Billing, payment and transaction details, noting that card payments are generally processed by third-party payment providers rather than stored by us
  • Information you provide when downloading resources, subscribing to updates, registering for webinars or events, or contacting us
  • Communications with us, including support requests, feedback, survey responses and other correspondence
  • Participant information provided by a corporate buyer or team administrator on behalf of attendees
  • Technical and usage information such as IP address, browser type, device information, pages viewed, referring URLs, approximate location, cookies, pixels and analytics data

2. How we collect personal information

We may collect personal information directly from you and from other sources, including when you:

  • Visit our website or interact with our forms, landing pages, chat tools, booking pages or advertisements
  • Book a course, request an invoice, ask for information or contact us by email, phone, chat or social media
  • Subscribe to our newsletter or other updates, or download a lead magnet or free resource
  • Attend a course, webinar or event, or otherwise participate in our services
  • Interact with our emails, advertising, analytics tools or similar technologies

3. Why we collect, hold, use and disclose personal information

We may use and disclose personal information to:

  • Provide, administer and improve our courses, website, events, resources and related services
  • Process bookings, payments, invoices, enrolments, confirmations and customer support
  • Communicate with you about courses, events, content, updates, service information and administrative matters
  • Send direct marketing and promotional communications about our courses, resources, events and related offers, where permitted by law
  • Manage subscriptions, preferences and unsubscribe requests
  • Measure website use, campaign performance and business development effectiveness
  • Protect our systems, manage risk, investigate misuse, enforce our terms and comply with legal obligations
  • Work with service providers and advisers who help us operate our business

We may also use personal information for related purposes that would reasonably be expected in the circumstances, or where otherwise permitted or required by law.

4. Direct marketing

We may send you marketing and promotional messages by email and other electronic means about Digital Knowledge Co courses, resources, events, updates and related offerings. This may include people who subscribe, enquire, download a resource, register for an event, attend a course or otherwise interact with us, where permitted by law.

You can opt out of marketing communications at any time by using the unsubscribe facility in the message or by contacting us at privacy@digitalknowledgeco.com. Administrative and service messages may still be sent where necessary.

5. Cookies, analytics and tracking technologies

Our website may use cookies, pixels, tags, session replay tools, analytics tools and similar technologies to recognise devices and browsers, remember preferences, understand website usage, improve content and performance, measure campaigns and support advertising and remarketing.

We may disclose personal information to:

  • Our hosting, website, payment, booking, email, webinar, chat, CRM, analytics, advertising and technology service providers

  • Related service providers, contractors, presenters and administrators who help us deliver our services
  • Corporate clients or sponsors where they book training for their staff, to the extent reasonably necessary for enrolment, attendance, invoicing, reporting or course administration

We do not sell personal information as a standalone asset. We may, however, disclose information to third-party service providers who process information on our behalf or help us market and operate our business.

7. Overseas disclosure

Some of our service providers, systems or data hosting providers may be located outside Australia or may store or process information outside Australia. This may include providers operating in countries such as the United States, the European Union, the United Kingdom, Singapore and other jurisdictions where our providers or their infrastructure operate.

By dealing with us, using our website or providing personal information to us, you acknowledge that overseas handling may occur. We will take reasonable steps to work with reputable providers and to protect personal information in a commercially reasonable way, but overseas laws and protections may differ from those in Australia.

If you have a privacy complaint, please contact us first and we will try to resolve it. If you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner.

10. Retention

We may keep personal information for as long as reasonably necessary for business, legal, accounting, regulatory, training administration, risk management, marketing suppression or dispute resolution purposes, and may then delete, destroy or de-identify it where appropriate.

11. Changes to this policy

We may update this Privacy Policy from time to time. The latest version published on our website will apply from its stated effective date.
